What information do we receive

If you contact us by email, we receive the information you choose to include in your message. This may include your name, email address, job title, company details and the content of your enquiry.

The diagnostic form on the home page asks for:

• website;
• full name;
• job title;
• work email.

When you use Start a check, the information requested depends on what you ask us to review.

For an organisation check, we may ask for:

• organisation name;
• website, if provided.

For a person check, we may ask for:

• full name;
• organisation or professional role, if provided;
• public profile or website, if provided.

We also ask for an email address so that we can deliver the demo check. Your own name is optional.

We ask for this information to identify the subject of the check and prepare and deliver the two briefs. If required information is not provided, we may not be able to process the request.

For a demo check, we may also review relevant information available from publicly accessible websites, databases and platforms, and record the sources and observations needed to prepare the two briefs.

Please do not send confidential documents, contracts, internal materials, private contact details, sensitive personal information, information about minors or other non-public information through Start a check or in your first message.

If such material is needed later for a project, we will agree a suitable way to exchange it.

Checks concerning people

A Start a check request may concern the person submitting the request or another adult professional.

For person checks, the demo is limited to publicly available professional information. This may include a person’s name, professional role, organisation, public professional profiles, websites and other publicly available professional information relevant to how they are represented.

We do not ask users to submit private contact details, sensitive personal information, information about minors or confidential materials. We may decline a request where the proposed check would require processing information outside these boundaries.

Information obtained from public sources or another person

Where a check concerns a person other than the person submitting the request, relevant professional information may be provided by the requester and may also be obtained from publicly accessible sources.

The categories of information may include name, professional role, organisation, public profiles, websites and other publicly available professional information relevant to the check.

Where applicable, we provide the information required by data protection law to the person concerned, unless an applicable exception under the GDPR applies.

Why do we use this information

We use personal data only for purposes connected with your request or our business relationship.

For enquiries and demo checks, we use the information to respond to you, carry out the requested check, understand the task and continue the related business communication. This processing is based on our legitimate interest in responding to professional enquiries and providing the requested business interaction.

Where a demo check concerns another adult professional, we may process limited publicly available professional information where this is necessary for our legitimate interest in providing the requested professional research, subject to the rights and interests of the person concerned.

Where processing is necessary to prepare or perform an agreement with you, it may also be based on steps requested before entering into a contract or on the performance of that contract.

Where information must be retained to meet accounting or other legal requirements, processing is based on a legal obligation.

We do not sell personal data or provide it to data brokers or advertising networks.

QuorumLab research and updates

You may separately choose to receive QuorumLab research, Insights and occasional updates.

This subscription is optional and is not required to receive a demo check or contact QuorumLab.

If you subscribe, we use your email address for this purpose based on your consent.

You can unsubscribe or withdraw your consent at any time.

How long do we keep your data

Information relating to an enquiry or demo check is normally kept for six months after the last contact.

If the enquiry leads to a contract or project, relevant information may be kept for longer where this is necessary to manage the relationship or meet legal and accounting requirements.

If you subscribe to QuorumLab research and updates, your contact information is kept until you unsubscribe or withdraw your consent, subject to any limited records we may need to retain to respect that request.

Service providers and technical data

We use external service providers where necessary to operate the website, email and related communication services.

We also use AI systems and research services as part of the demo check. Limited information about the organisation or person being checked may be submitted to these services where needed to carry out the requested review.

Where service providers process personal data on our behalf, they may process only the information needed to provide the relevant service and are subject to appropriate data-processing arrangements.

Technical information such as an IP address may also be processed by hosting or security services where necessary to operate and protect the website.

Where a service provider processes personal data outside the European Economic Area, we use an applicable transfer mechanism or safeguard required by EU data protection law.

You can contact us for more information about the safeguards used for international transfers.

We do not provide personal data collected through the website or email to third parties for their own advertising purposes.

Your rights

Depending on the circumstances and the legal basis for processing, you may have the right to:

• request access to your personal data;
• ask us to correct inaccurate or incomplete information;
• request deletion of your personal data;
• ask us to restrict certain processing;
• object to processing based on legitimate interests;
• receive your personal data in a portable format where the right to data portability applies;
• withdraw your consent at any time where processing is based on consent.
